On a recent episode of the Dead Pixels Society Podcast, host Gary Pageau sat down with Scott Rodgers, partner at Airstudio, and industry veteran Peter Koop to explore how Airstudio is transforming the way school and volume photography studios manage their businesses.

Airstudio’s origin story is familiar to many long-established studios. Rodgers runs a Chicago-based school photography operation founded in the 1940s that photographed more than 150 schools annually. Like many legacy studios, the business relied on a homegrown platform built on Visual FoxPro—software that has been obsolete for more than a decade. When it became clear that no modern system could handle the complexity of school photography workflows, Rodgers and his team built their own.

That internal solution eventually became Airstudio: a fully integrated studio operating system designed specifically for school photographers.

Airstudio functions as a comprehensive back-office platform that runs nearly every aspect of a studio’s operation outside of front-end e-commerce. It manages school and client relationships, senior session scheduling, photographer staffing, payroll, task workflows, internal communications, and equipment inventory. It also integrates with major e-commerce and gallery platforms such as GotPhoto, Captura, and others via open APIs.

Koop describes Airstudio as the only platform written “by school photographers, for school photographers.” Unlike generic CRMs or scheduling tools originally built for salons, plumbers, or retail businesses, Airstudio was designed from the ground up around the unique workflows of volume photography.

One of Airstudio’s most powerful differentiators is its analytics and reporting engine. Because the system connects payroll, workflow costs, job types, and order data, studios can generate true profit-and-loss statements for each individual school account.

Rodgers shared that when his studio first performed detailed P&L analysis across all accounts, they made the difficult decision to drop nearly 40% of their customers. The result was a healthier, more profitable business—and a dramatically improved quality of life for the staff.

The platform also includes an AI-powered natural-language reporting tool. Studio owners can simply type questions like, “How much did I make from ABC High School?” and instantly see revenue, costs, margins, and performance trends.

Beyond financial analytics, Airstudio brings structure and efficiency to daily operations. The platform includes a full workflow management system with task assignments, time tracking, and cost attribution. Studios can build customized workflows for different job types—from underclass picture days to senior portraits and ID cards.

Airstudio also includes an unusually robust equipment management system. Studios can track cameras, laptops, lighting, backgrounds, and accessories down to the individual item level. The system supports check-in and check-out, repair histories, warranties, and even photo documentation of equipment condition.

With increasing scrutiny around student data and privacy, Airstudio has invested heavily in security. The platform supports encrypted file sharing for schools, secure data portals, and compliance with strict U.S. and Canadian privacy standards. The company is currently in the process of completing SOC 2 certification and has already passed rigorous audits from healthcare and education clients.

Looking ahead to 2026, Airstudio’s mission is clear: to become the single platform that ties everything together for school photography studios.
